Sharing and permissions
The owner of a vehicle can share it with other users of the same Fahrtenbuch server. A user the vehicle is shared with (co-driver) can record and manage their own trips with it.
Sharing a vehicle
Open the vehicle and choose Share. There are two ways:
| Method | How it works | Validity |
|---|---|---|
| Invitation by e-mail | Enter the e-mail address of a registered user. They get an e-mail and see the vehicle after accepting. | 7 days |
| Sharing link | Create a link and send it yourself, for example by messenger. The first user who opens and accepts it gets access. | 24 hours, single use |
- Invitations by e-mail only work for registered, active users of your server. For an unknown address no e-mail is sent; the user has to be created by an administrator first.
- Invitations by e-mail are hidden if the server has no e-mail sending configured (SMTP, see configuration). Sharing links still work; they need
PUBLIC_BASE_URL. - An invited user can also accept or decline the invitation in the web dashboard; an invitation for another account cannot be accepted.
Under Active shares you see who has access and can revoke it at any time.
What co-drivers see
Co-drivers use the vehicle for their own trips. They do not see:
- vehicle master data and the Bluetooth configuration,
- leasing or financing data,
- odometer readings and vehicle-wide statistics,
- trips of the owner or of other co-drivers.
In their statistics the shared vehicle appears with their own trips only.
What the owner sees
The owner sees the trips of co-drivers in the vehicle statistics as a separate category Other drivers – as a total for the period in which they owned the vehicle, without destinations or categories. This keeps the odometer reconciliation correct without exposing other people's trips.
Driver of a trip
If you were not the driver of a trip recorded with your account, you can return it to the vehicle owner in the trip details. The owner can assign a trip to another driver.
